In the role of receptionist you will undertake a variety of duties, including:

  • Managing and maintaining the daily running of the office
  • Assisting with the administration of the firm
  • Promoting the values and vision of the firm throughout the office
  • Run mini inductions with new starters
  • Promoting office tidiness
  • Attending to clients on the phone and in person, dealing with them in a professional manner in conjunction with the relevant protocol.
  • Booking of office interview rooms via intranet
  • Handling stationery orders
  • Monitoring IT issues including reporting them to IT
  • CJSM/Secure email distribution
  • Arranging lunches/refreshments for meetings
  • Dealing with car park issues

Responsibilities related to daily post include:

  • Dealing with incoming and outgoing post
  • Scanning of incoming post as directed
  • Distribute incoming post internally
  • Printing out and posting letters for lawyers/consultants who work remotely
  • Make and collect deliveries where appropriate
  • Post office runs
  • Tracking and scanning post office receipts
  • Courier collections

Other miscellaneous duties include:

  • Assisting with office moves
  • Organising outside photocopying
  • Maintaining property register and secure cabinet
  • Fire Marshall
  • First aider
  • Archiving
  • Ad hoc duties as and when required to include assisting fee earners with opening files, copying bundles
  • Dealing annually with all staff Display Screen Risk Assessments
  • Dealing with day to day building maintenance issues
  • Organising collection of shredding and secure destruction to include discs
  • Building contact
  • Maintaining/assisting with various contract administration as required.

Person Specification

Candidate Requirements include:

  • Excellent Communication Skills, both verbal and written;
  • Excellent IT skills, including a good knowledge of Microsoft Word and Excel;
  • Excellent attention to detail while working to tight deadlines;
  • Ability to build good working relationships with members of the team and employees;
  • Ability to work proactively and with a can do attitude;
  • Ability to work effectively on your own initiative or as part of a team
