Job Purpose:

  • Supporting the Child Care team with the management and administration of a broad range of Child Care cases
  • Building up individual caseload and escalating new enquiries 
  • Providing administrative and diary management  support to the Child Care team
  • Building rapport with clients and providing outstanding customer service

Job Description

  • Handling initial enquires over the phone or at face to face meetings
  • Setting up electronic files and keeping them up to date at all times with file notes, scanned post etc.
  • Preparing bundles and collating enclosures for post
  • Drafting emails, letters, file and telephone notes and court documents 
  • Reviewing disclosure and previous proceedings
  • Completing online application forms i.e. Legal Aid Agency and monitoring progress
  • Communicating and building rapport with a variety of professionals including courts, local authorities, CAFCASS, solicitors, expert witnesses and other third parties
  • Managing the Child Care team’s diaries including arranging meetings with clients, counsel and experts, when required 
  • Accompanying Counsel to court and attending conferences with Counsel
  • Attending meetings including public law outline meetings, looked after reviews and case conferences
  • Updating clients
  • Billing and archiving completed files
  • Providing general administrative support to the Child Care team 

Responsibilities

Organisation: Building up your own case load whilst supporting the Child Care team
Ensuring that work is completed to a high standard; demonstrating attention to detail. 
Using the Legal Aid Agency portal, knowledge of Client and Cost Management System is desirable 

Client care: Taking a professional and proactive approach to work, with strong client care focus
Dealing with vulnerable clients in a sensitive manner to resolve complicated matters

Drafting: Preparing all necessary draft documents including applications and statements and processing evidence

Case types: Supporting the management of a varied general Child Care caseload, including: 
All Legal Aid, CCMS procedures, Care Orders, Interim Care Orders, Supervision Orders, Interim Supervision Orders, Emergency Protection Orders, Police Protection Orders, Special Guardianship Orders, Placement Orders, Adoption Orders, pre-proceedings meetings, child protection case Conferences. You will support Solicitors in representing parents, grandparents, other family members and children directly or through their Children’s Guardian.

Person Specification

Skills, Knowledge & Experience

  • Demonstrates a positive, friendly, flexible, and capable manner, and can build relationships quickly
  • Works ethically and sensitively to support vulnerable individuals through legal processes
  • Has strong interpersonal, verbal, and written communication skills
  • Has excellent time management, organisational and computer skills including Word, Excel, and PowerPoint as well as document management systems
  • Is familiar with a case management system
  • Strong customer facing and good influencing skills, able to deal with queries both verbally and in person
  • Is able to ensure a high level of service with existing clients in order to secure repeat business
  • Able to undertake legal research competently
  • Stays up-to-date with the latest relevant legislation, policy changes and changes in the law
  • Remains efficient and productive under pressure
  • Prior experience of undertaking office administration or Paralegal work in a Legal Firm, ideally within Child Care
  • 5 GCSE’s – including Maths and English Grade B or above
  • Further qualifications would be advantageous but not essential
